Details of your expedition partner and emergency contact.
Relevant health, accessibility or dietary information needed to plan your participation.
Expedition check-in, checkpoint and location information where the expedition uses these systems.
Technical information about website visits, such as browser, device, IP address and pages viewed, subject to your cookie choices where applicable.
Most information comes directly from you. We may also receive information from your expedition partner, booking organiser, payment provider or expedition support team.
If you give us another person’s details, please make sure they know you have done so and direct them to this notice.
3. How and why we use your information
We use personal information for the following purposes:
Enquiries and applications: to answer questions, assess applications and take steps you request before a booking.
Bookings and expedition delivery: to administer payments, send joining instructions and provide the agreed services.
Safety and support: to assess suitability, plan appropriate support, manage check-ins and respond to incidents.
Business administration: to maintain records, resolve complaints, prevent misuse and protect our legal rights.
Legal obligations: to meet applicable accounting, tax and other legal requirements.
Marketing: to send expedition news when you have chosen to receive it.
Website operation and improvement: to operate the website and understand its use, subject to the cookie arrangements below.
Our lawful bases are taking steps towards or performing a contract, complying with legal obligations, consent, and legitimate interests.
Our legitimate interests include responding to general enquiries, running a safe and effective expedition business, protecting our website and resolving complaints or claims. We consider your rights and expectations when relying on these interests.
Where information is necessary to assess your application or deliver an expedition, we will explain this. Without it, we may be unable to accept your application or provide the service.
4. Health information and emergency contacts
Please do not send detailed medical information through the general website contact form.
Where health information is needed, we will explain what is required, why we need it and how it will be handled. We will normally ask for your explicit consent to process this information for suitability assessment and expedition planning.
Relevant information may be shared with the medical or expedition personnel who need it to support you. In an emergency, necessary information may also be shared with emergency services where there is a lawful basis to do so.
You can withdraw consent by contacting us. This does not affect processing already carried out lawfully. If essential safety information can no longer be used, we will discuss whether your participation can safely continue.
Emergency contact details are used to support expedition administration and respond to welfare concerns or emergencies.
5. Payments
Payments are handled through Stripe and any other payment provider identified at checkout, such as PayPal where offered.
Payment providers process your payment credentials under their own privacy notices. We receive the information needed to administer your booking, such as payment status, amount, transaction reference and relevant billing details.
Please do not send card details by email or through our contact forms.
6. Who we share information with
We share information where necessary with:
Squarespace, which hosts our website and processes website forms and related records.
HostPresto, which provides our business email hosting.
Payment providers, including Stripe and any additional provider you choose at checkout.
Expedition personnel and suppliers, where they need information to deliver your expedition.
Medical personnel and emergency services, where necessary for safety or treatment.
Professional advisers, insurers and authorities, where needed for advice, claims or legal obligations.
Website form submissions are emailed to us and may also be stored within Squarespace.
We limit the information shared to what is relevant for the purpose. We do not sell your personal information.
7. International processing
Some technology providers may process personal information outside the UK. An overseas expedition may also require us to share relevant information with local suppliers or support personnel.
Where international transfer rules apply, we must use an appropriate transfer mechanism, such as UK adequacy regulations or approved contractual safeguards.

8. How long we keep information
We keep personal information for as long as needed for the purpose for which it was collected. The period depends on the type of record:

Booking and financial records: for the applicable accounting and tax retention periods, and where needed to deal with contractual matters or claims.
Health and emergency contact information: for the expedition and necessary follow-up, with longer retention only where justified by an incident, claim or legal requirement.
Checkpoint and location records: for expedition operations, results, incident review and any related disputes.
Marketing details: until you unsubscribe or we determine that they are no longer needed. We may retain a minimal record of your opt-out to avoid contacting you again.
When deciding retention periods, we consider legal requirements, the nature of the information and whether there is an unresolved complaint, incident or claim.
Information that is no longer needed is deleted or anonymised.
9. Expedition updates and marketing
You can choose to receive Wild & Remote expedition news and updates.
Sending an enquiry or applying for an expedition does not automatically subscribe you to marketing emails.
You can unsubscribe using the link in a marketing email or by contacting info@wild-remote.com.
Booking confirmations, payment reminders, joining instructions and safety information are service messages and are separate from marketing.
10. Cookies and website information
Cookies are small files stored on your device. Our website also uses related technologies to support its operation.
Essential cookies
These support functions such as security, form operation and remembering cookie preferences. They cannot be switched off through the cookie banner because they are needed for the relevant website functions.
Optional analytics cookies
